Lesson: Uploading Files

Complex content can be included in a record by uploading a file into the record. This can include Word, Excel, and Power Point documents, pdf and html files, images, video, podcasts and other mp3 files, as well as other file formats.

Before You Begin

The following steps will have you save some image files to your computer for uploading into your record.


Image:Note_32.gif Note: Be sure to make a note of where you save the files. You're going to need to locate them by browsing to upload them to your record in a minute. And you will use the standard logo again in a later lesson.


  1. Right click on the OnRamp Logo below and select Save picture as... in IE or Save image as... in Firefox and Safari.

  1. Save the file to your computer as OnRamp_logo_standard.jpg.
  2. Right click on the reversed colors OnRamp Logo below and select Save picture as... in IE or Save image as... in Firefox and Safari.

  1. Save the file to your computer as OnRamp_logo_reverse.jpg.


Upload File

You began the editing process in the previous lesson, Viewing and Editing a Saved Record. If you missed that lesson, do it now and come back here.


  1. Find the section labeled Upload Files near the bottom of the new record.
  2. Type OnRamp Logo (standard) in the field Description for File Upload 1

Notice that Description for File Upload 2 appears, but not File Upload 2. This is the same way that entering Related Links worked.

  1. Use the Browse... button after the textbox for File Upload 1 to navigate to the location where you saved the OnRamp_logo_standard.jpg file and select it.

This will fill in the text box with the path to the OnRamp_logo_standard.jpg file.

Notice that File Upload 2 appears. Also notice, that just like for Related Links, the descriptions are grouped together and the upload paths are grouped together. You match up the description and upload path based on the appended number.

  1. Type OnRamp Logo (reverse) in the field Description for File Upload 2

Notice that Description for File Upload 3 appears, but not File Upload 3.

  1. Use the Browse... button after the textbox for File Upload 2 to navigate to the location where you saved the OnRamp_logo_reverse.jpg file and select it.

This will fill in the text box with the path to the OnRamp_logo_reverse.jpg file.

Notice that File Upload 3 appears.


Submit Your Work

Let's assume that at this point you consider the record ready for review by your publisher. The only question is which icon you want to use for the logo. Submit the record and then we'll add a note to the publisher about the logo question.

  1. Click either of the Submit for Approval buttons, which are located at the top and bottom of the entry form.

OnRamp will do some processing to save your record. You will see a message saying the record is saved. Then you will be automatically returned to viewing the record.

Adding a Comment

To add the note about the logo colors...

  1. Click Add a comment link near the bottom of the record.
  2. In the textbox that appears, type Do we want to go with the red or black background for the logo?
  3. Click the Add Comment button

The comment appears near the bottom of the record.


Image:Caution_32b.gif Caution: Be aware that who sees comments is part of the security settings. Some projects limit comments to project staff, in which case including editorial comments like above are appropriate. Other projects allow anyone to make comments and rate resources. For these projects, you may not want to use the record commenting facility for editorial comments since all users will be able to see them. If you have questions about this, talk with your Community Administrator.


Since this record is not yet published, it does not appear in the list of records when browsing the Tutorial Collection. It continues to be listed under the Unpublished Items tab in My OnRamp. If you go take a look in My OnRamp, you will notice that the status of this record is now set to Unpublished. This status tells publishers that this record is ready for review.
